Description:
The Plant Operations Assistant position is responsible for the safe, reliable operation and maintenance of the San Juan Gas Plant office.
The successful candidate will work closely with the San Juan Gas Plant operations and maintenance organizations and leadership to manage the overall processes and assess how to continuously improve. He/she will provide budget support, track/file employee training records, records document management among several other important duties.
Responsibilities may include:
Create and maintain spreadsheets associated with plant budget and assist with Long Range Planning for both operations and capital expense
Assist with recording tax-deductible expenses
Entering and recovering data from SAP, including AFE, Budget, Opex Actuals and PO's
Enter all Purchase Orders
Maintaining communications with procurement personal located in Bartlesville and Houston
Tracking goods and services received and ensuring charge codes are correct
Coding and forwarding all SJGP invoices to appropriate approver
Entering projects into DSM
Ensuring plant personal HSE training records are up to date (Entering all training into spreadsheets and in Learning Express and then filing)
Maintaining the plant personnel Training Matrix
Tracking all SJGP employee and contractor hours and compiling reports
Numerous reports for management, government reporting and joint ownership partner
Manage HSE training record files
Coordinate and supervise contracted janitorial services
Manage the office supply expendables for the plant (including break room and restroom supplies)
Manage maintenance/service agreement on all office equipment
Manage the truck fleet through ARI and Wheels
Manage receiving, shipping and mail associated with the plant
Coordinating meetings and special events, including scheduling conference room when necessary
Coordinate monthly safety meetings
Maintain plant calendar
Manage all Turnaround Food Services
Front door management; including diverting unnecessary sales personnel
Philanthropic representative for the plant
Qualifications:
Basic/Required:
Legally authorized to work in the United States
Valid driver's license
10 of experience as an administrative or technical support professional
Advanced proficiency with Microsoft Word and Excel
3 years of experience with document records management
Intermediate proficiency in SAP
Preferred:
Proven Safety Leader
10 of direct experience in gas gathering & processing business.
Strong interpersonal and communication skills, ability to interact with multiple layers of organization
Ability to demonstrate a positive, welcoming attitude at all times; Confidante to many plant employees
Well-developed planning and organizational skills including the ability to work independently, prioritize activities, meet commitments, and proactively manage time
Knowledge in the L48 HSE Management System program and procedures
Transmits information so it is received and understood in the way it was intended
Motivates and inspires people to achieve their best and to pursue goals that enable success
Experience in HSE and PSM audits
Leadership ability
Knowledgeable with OSHA-PSM & EPA-RMP requirements and compliance systems.
Familiarity with turnaround planning, and operational excellence basics Conditions of Employment may include
